Reporting & Dashboard

Reports can give you insights into important details pertaining to assets and accounts within the system. Reports may be viewed by a number of people in the organization based on their roles. For instance, a CIO (Chief Information Officer) may need to view the risk statistics based on certain parameters such as Password Activity. Some other stakeholders such as the super-user may wish to view reports based on active users and active assets. Sectona allows you to generate reports and distribute it to the concerned users who need it in PDF, Excel or CSV formats.

Canned report

You may want any number of people in your organization to view asset and password compliance data without actually logging into the system. Canned reports are prebuilt report functions available for viewing and exporting purposes.

Custom report

These are the reports which can be customized by the user or user groups. They can be easily formatted and designed at any time as per the requirement of the users.

In PAG, you can either access a canned report or design a report of own preference. In this chapter you will know about the following report types:

Designing a report in PAG

To define a new report you need to follow certain steps:

  • Login to PAG as an administrator.

  • Go to Reports → Custom Reports → Report Designer.

  • As you click on the Report Designer, two options will be available for you. Either you can use an existing custom report or create a new one.

  • Now click on the New Report option and a Details page will appear in front of you. Provide a report name and description (if required). Choose the report type and report category from the drop-down available and click on Next.

  • Choose a base data that you want to insert in your report and accordingly the columns and display name will appear in front of you. You need to specify the order in the last column and select the checkbox which you want in your report in the first place and then click on Next.

  • The next page will appear which will contain the parameters that need to be matched before the report is generated. For instance, the column name should be matched with the operator and the condition specified as the first name should be equal to John Smith. You can add more than one parameter at a time. Click on Next.

  • Now the next page contains how the report design will appear in front of you. Provide a suitable title for the chart and select the type of chart in which you want to see your data plotted. Choose the x-axis and the y-axis from the drop-down and provide the title for them respectively.

The x-axis and y-axis from the drop-down should not be the same.

Editing an existing custom report

  • As you reach the report design option you have two options available, either to create a new report or use an existing one. Click on the Existing Custom Report button.

  • You can edit the existing report by just clicking on the report name of your preference. Mention the changes in the required fields.

  • Click on the Finish button.

Exporting a report in PAG

Exporting the reports will help you to print the reports in a standard format. You need to follow these steps to export reports:

  • Navigate to the Reports section in the navigation bar.

  • Click on the Canned Reports you want to export.

  • Click on  the button on the extreme right of the window to export the report in PDF format.

  • If you want the report in different formats such as CSV or Excel, you can get the report by selecting an option next to the search bar.

  • Click on Export to PDF option placed at the top-right corner of the screen to generate PDF of the reports.

A report can be easily exported by just clicking on the Export button on the top right side of the report.  On the bottom right side of the window, you will get to choose the format you want your reports to be exported in.

Scheduling a report in PAG

To schedule a report, follow the given steps:

  • Login to PAG as an administrator.

  • Go to Reports → Click on the report that you want to schedule

  • Click on the Schedule icon placed at the top-right corner of the screen.

  • Click on +New Report Scheduler button.

  • Select CSV or PDF as a report format from the drop-down menu.

  • Scheduler: Select whether you want to schedule the report for a daily, weekly or monthly basis. Here the selection is applicable for a particular date, a particular day of the week or for a particular month

  • Scheduler Start: Provide the start date of the scheduler.

  • Scheduler Time: Provide a specific time for scheduling the report. Here you can tick the ‘Any’ checkbox in case of general time.

  • Recipient Email: Provide the email address of the person to whom scheduled reports must be sent.

  • Make sure to tick the 'Active' checkbox.

  • Click on the Save button.

Viewing a report in PAG

  • Navigate to the Reports options in the navigation bar.

  • Select any one report from the various types of canned reports displayed by default.

  • You can view a report by choosing formats like Excel or CSV to the left of the report window.

  • Click on Export to PDF option placed at the top-right corner of the screen to generate PDF of the reports.

Dashboard

The dashboard is nothing but a summarized story in real-time. It provides information regarding the contents of the system. The ideal dashboard is typically a page containing a quick reflection of the summarized data. The dashboard on Spectra is divide into the following fields:

  • Reviews (All): Reviews(All) displays the total number of User Access and Entitlement reviews in the system.

  • Review Cycle (All): Reviews Cycle (All) displays the total number of User Access and Entitlement review cycles generated in the system.

  • Review Master (Active): Review Master (Active) details all the active User Access and Entitlement reviews in the system.

  • Review Cycle (Pending): Review Cycle (Pending) details all pending User Access and Entitlement reviews in the system.

  • User Access - Approval Stat: User Access - Approval Stat gives details about the status of User Access review by displaying the number of rejected/approved reviews.

  • Entitlement - Approval Stat: Entitlement - Approval Stat gives details about the status of Entitlement review by displaying the number of rejected/approved reviews.
